Position Overview

We are seeking a highly organized and detail-oriented Broker Sales Administrator to join our dynamic team. In this pivotal role, you will serve as the backbone of our broker sales operations, ensuring seamless contract management, meticulous documentation, and efficient data handling. Key Responsibilities

The Broker Sales Administrator will play a critical role in administering and optimizing broker sales processes. Your core duties will include:

  • Broker Sales Process Administration:
    • Ensure all broker sales documents, including contracts, order forms, and service agreements, are accurately prepared, securely stored, and readily accessible for audits or client inquiries.
    • Process and place broker sales orders, coordinating with inventory and logistics teams to guarantee timely delivery and fulfillment of client specifications.
    • Maintain a comprehensive and up-to-date database of broker clients, tracking contact information, purchase history, and preferences to facilitate personalized service and targeted follow-ups.
    • Generate detailed monthly and quarterly reports analyzing sales performance, client engagement metrics, and revenue trends to support strategic decision-making and future forecasting.
    • Administer financial transactions related to broker sales, including invoicing, payments, and credit control, ensuring full compliance with financial policies and procedures.
    • Ensure all broker sales activities comply with local Saudi regulations and international trade laws, mitigating legal risks and maintaining operational integrity.
    • Implement structured systems for collecting and analyzing client feedback, leveraging insights to enhance service offerings and proactively address client concerns.
    • Review and renew broker sales contracts regularly to ensure they remain current, compliant, and legally sound.
  • Inventory Oversight for Broker Sales:
    • Monitor inventory levels to ensure sufficient vehicle supply for broker sales, utilizing inventory management systems to update stock records and alert sales teams of potential shortages.
    • Conduct quarterly audits of broker inventory to verify stock accuracy and the physical condition of vehicles, addressing any discrepancies promptly.
    • Allocate vehicles to meet specific broker orders, ensuring the right models and quantities are available to fulfill client requirements while optimizing logistics and delivery timelines.
    • Adjust stock levels based on sales trends, customer demand, and seasonal fluctuations to prevent overstocking or stockouts.
    • Prepare comprehensive inventory reports that provide insights into vehicle availability, status, and turnover rates, guiding purchasing decisions and sales strategies.
    • Manage the reordering process by coordinating with suppliers to ensure timely replenishment of popular models and variations based on sales data and forecasted demand.
  • Client Relations Administration:
    • Establish and maintain regular communication channels with broker clients through newsletters, status updates, and direct outreach to keep them informed and engaged with offerings.
    • Coordinate the scheduling of all client-related services, including vehicle delivery, routine maintenance, and repairs, to ensure a seamless and positive client experience.
    • Administer contract renewals and updates, ensuring terms are current and reflect any new negotiations or service modifications.

Qualifications and Experience

To excel in this role, you will possess the following qualifications and attributes:

  • A Bachelor’s Degree in Business Administration or a related field.
  • Proven experience in a sales administration, broker operations, or inventory management role, with a strong understanding of contract management and compliance.
  • Proficiency in Microsoft Office Suite, particularly Excel, and experience with inventory management systems and CRM software.
  • Exceptional organizational, communication, and interpersonal skills, with the ability to liaise effectively between multiple departments and stakeholders.
