Your Responsibilities

In this role, you will work closely with production, design, and QA/QC teams to ensure all documentation is meticulously controlled, accessible, and aligned with project standards and internal procedures. Your key responsibilities will include:

• Data Management: Updating submittal and record statuses, maintaining registers with current document versions, and ensuring all data is accurately recorded and updated.
• Document Distribution: Distributing submittals from subcontractors for internal review according to the Document Distribution Matrix, and submitting project submittals with transmittal covers to consultants.
• Document Processing: Scanning and uploading commented or approved submittals into the project document management system or server, ensuring proper labeling and traceability of records.
• File Management: Organizing and maintaining project files in compliance with ISO 9001 Management Protocol, ensuring filing reliability and easy retrieval of documents.
• System Proficiency: Operating and utilizing document management systems such as Aconex or Unifier to streamline processes and enhance efficiency.
• Confidentiality & Reporting: Maintaining strict confidentiality of sensitive information, preparing ad-hoc reports as required, and ensuring the professional indentation of original project documents, including construction drawings, schematics, and statutory records.
• Hard Copy Management: Maintaining a hard copy reference library of all project documents to ensure seamless retrieval and compliance with project standards.

What We Seek in a Candidate

We are looking for a detail-oriented and proactive individual with a minimum of 0–2 years of experience in construction projects. The ideal candidate will possess the following skills and attributes:

• Technical Proficiency: Strong knowledge of document control systems and file management, with proficiency in MS Office Suite.
• Organizational Excellence: Exceptional organizational and communication skills, with a keen attention to detail and a commitment to maintaining confidentiality.
• Industry Knowledge: A basic understanding of joinery terminology, materials, and workflow, along with familiarity with ISO 9001 and quality systems.
• Desirable Skills: Experience with QA/QC documentation and inspection tools, the ability to read joinery/architectural drawings, and awareness of HSE standards in a factory environment.
