Position Overview

The Métis Nation – Saskatchewan is seeking a highly motivated and detail-oriented Regional Office Assistant to support the operational and administrative functions of the NR1 Regional Office in La Ronge, Saskatchewan. Reporting directly to the NR1 Regional Director, this full-time, permanent position plays a pivotal role in ensuring the efficient delivery of regional services, fostering community engagement, and maintaining high standards of customer service. The ideal candidate will possess a strong commitment to excellence, a collaborative mindset, and the ability to manage a diverse range of administrative responsibilities while upholding the values and mission of the Métis Nation.

Key Responsibilities

The Regional Office Assistant will serve as the primary point of contact for the regional office, providing exceptional support to both internal teams and external stakeholders. The role encompasses a broad spectrum of administrative and operational duties, including:

  • Customer Service and Communication: Respond to inquiries with professionalism, clarity, and accuracy, ensuring detailed and courteous support to Métis citizens, community members, and partners. Address a wide range of questions related to regional programs, services, and initiatives.
  • Administrative Support: Maintain organized and secure filing systems for records, reports, and documentation, adhering to established policies and procedures. Manage communications infrastructure for the regional council, including coordination of meetings—both in-person and virtual—and distribution of relevant materials.
  • Community and Program Support: Assist in the planning, coordination, and execution of NR1 community programming and engagements. Collaborate with Ma Faamii employees to support vulnerable Métis citizens in navigating complex human systems, including housing, healthcare, social services, mental health supports, cultural programming, food security, and transportation. Provide guidance and resources to help individuals overcome systemic barriers.
  • Documentation and Reporting: Develop and design promotional materials, presentations, and posters using Canva or PowerPoint to enhance outreach efforts. Assist Métis Locals with cultural programming by ensuring compliance with reporting guidelines, coordinating with Finance to gather receipts, and facilitating the submission of required documentation. Prepare and distribute administrative reports to the Regional Office and Métis Local Offices as needed.
  • Logistical and Operational Duties: Coordinate the distribution of supplies and materials to citizens, manage office supplies, and perform day-to-day operational tasks to ensure seamless office functionality. Travel to Prince Albert may be required for attendance at regional meetings, and occasional evening or weekend hours may be necessary to accommodate community events or urgent tasks.

Qualifications and Skills

To excel in this role, candidates must meet the following qualifications and possess the following skills:

  • Education and Experience: A minimum of Grade 12 education is required, with prior experience in an administrative role or a similar position considered an asset. Proficiency in technology, including Microsoft Office Suite (Outlook, Word, Publisher, Excel, PowerPoint) and Adobe applications, is essential.
  • Communication and Interpersonal Skills: Exceptional verbal and written communication abilities, coupled with strong relationship management practices, to effectively engage with diverse stakeholders and foster collaborative partnerships.
  • Organizational and Analytical Abilities: Demonstrated proficiency in office management, including strong organizational, analytical, and problem-solving skills. Ability to multitask, prioritize workloads, and manage time efficiently while maintaining meticulous attention to detail.
  • Technical and Operational Competencies: In-depth knowledge of clerical practices, procedures, and systems. Ability to work both independently and as part of a team, adapting to changing priorities and demands.
  • Additional Requirements: A valid Saskatchewan driver’s license and access to reliable transportation are mandatory. Candidates must provide an acceptable Criminal Record Check prior to employment. Flexibility to work evenings or weekends as required to support regional initiatives or community events is also necessary.
