IT Asset Management & CMDB Specialist - Immediate Joining

Position Overview

We are seeking a highly skilled and experienced IT Asset Management & CMDB Specialist to join our dynamic IT team. In this critical role, you will oversee the entire lifecycle of IT assets—from procurement and deployment to maintenance and decommissioning—while ensuring the accuracy and integrity of our Configuration Management Database (CMDB). Your expertise will be pivotal in mapping infrastructure dependencies, optimizing costs, and maintaining compliance with financial and regulatory standards. This position requires a strategic thinker with a strong technical acumen, exceptional analytical skills, and the ability to collaborate effectively across multiple departments, including Finance, Procurement, and IT Operations.

Key Responsibilities

As an IT Asset Management & CMDB Specialist, your core responsibilities will include:

• IT Asset Lifecycle Management: Oversee the complete lifecycle of IT assets, from initial request and acquisition to deployment, maintenance, and eventual decommissioning. Ensure seamless tracking and documentation of each asset’s journey to maintain operational efficiency and compliance.
• CMDB Integrity & Accuracy: Maintain the CMDB as a single source of truth by accurately mapping all Configuration Items (CIs) and their interdependencies. Perform regular reconciliations between discovery tools, procurement records, and the CMDB to identify and resolve discrepancies, ensuring data integrity at all times.
• Relationship Mapping & Dependency Analysis: Develop comprehensive dependency maps for CIs to provide clear visibility into how infrastructure components support critical business services. This insight will empower stakeholders to make informed decisions regarding IT investments and risk management.
• Financial & Procurement Alignment:
  • Cost Optimization: Collaborate with Finance to track asset depreciation, manage budgets, and deliver precise data for Total Cost of Ownership (TCO) analysis. Identify opportunities for cost savings without compromising service quality.
  • Procurement Collaboration: Partner with the Procurement team to ensure all new IT purchases adhere to technical standards and are promptly recorded in the CMDB upon receipt. This alignment will streamline asset tracking and reduce the risk of unmanaged or unauthorized purchases.
  • Contract Management: Proactively monitor software licenses, maintenance agreements, and warranties to prevent overspending on unused licenses or incurring penalties due to non-compliance. Ensure timely renewals and audits to mitigate financial and operational risks.
• Governance & Reporting:
  • Develop, implement, and enforce policies for asset tagging, data entry, and disposal to maintain consistency and compliance with industry standards.
  • Generate and deliver monthly reports to leadership, highlighting asset health, license compliance status, and potential renewal risks. These insights will support strategic decision-making and ensure the organization remains audit-ready for both internal financial reviews and external software vendor audits.

Requirements & Qualifications

To excel in this role, you must possess the following skills and qualifications:

• Experience: A minimum of 10 years of hands-on experience in IT Asset Management or Configuration Management, with a proven track record in managing complex IT environments.
• Technical Proficiency: In-depth knowledge of IT Service Management (ITSM) platforms, particularly BMC Helix, to effectively manage and optimize asset tracking and configuration processes.
• ITIL v4 Expertise: A strong understanding of ITIL v4 frameworks, with a focus on Service Configuration Management and IT Asset Management best practices. Certification in ITIL Foundation is highly desirable.
• Data Analysis Skills: Advanced proficiency in Microsoft Excel to manipulate and analyze large datasets, enabling accurate reconciliations and insightful reporting.
• Soft Skills: Exceptional communication and interpersonal skills to liaise effectively with cross-functional teams, including Finance, Procurement, and IT Operations. Your ability to articulate technical concepts to non-technical stakeholders will be a key asset.
• Preferred Certifications: While not mandatory, certifications such as Certified IT Asset Manager (CITAM) or Certified Software Asset Manager (CSAM) will demonstrate your commitment to professional excellence and industry standards.
